Write an answer the evaluator can follow

Organise the response around the published questions and scoring structure. For each claim, explain the action, responsible role, timing, supporting evidence and benefit to the stated need. Avoid filling the page allowance with company history. Evaluators should be able to find the answer without reconstructing it from disconnected attachments.

Distinguish an existing capability from a proposed commitment. Name resources only when their availability is confirmed. A demonstration, sample or workplan should show the requested scenario and the offered configuration. Add a mobilisation sequence and handover responsibilities so the delivery team can fulfil the commitments if the bid succeeds.

Worked example — Supply lunches to three schools

This is a fictional teaching case. Quantities, prices and contractual conditions below are assumptions for the exercise, not legal requirements or market benchmarks.

Describe the ordering-to-delivery chain, menu validation, traceability, trained cover and incident escalation. Show how changes are confirmed and how service continuity is organised without bypassing food-safety controls.

Reconcile ordered, delivered and accepted meals, recording discrepancies and authorised adjustments. Keep traceability and compliance records in the required systems. Measure avoidable waste against a defined baseline rather than promising an unsupported percentage reduction.

Country specific — what to verify

Verify food-business registration or approval, hygiene, allergen information, nutrition and dietary obligations for the destination and buyer. Check labour rules and any locally imposed sourcing criteria. Environmental criteria do not replace food-safety requirements.
